In a world full of meetings, networking mixers, conferences, and social gatherings, it’s easy to default to saying yes without thinking strategically.
Over time, I’ve adopted a simple but powerful decision-making filter:
The Five Ws — Why, When, Where, What, and Who
This framework has helped me become more intentional — not just about the events I organize, but also about the ones I choose to attend.
1. Why — The Anchor of Every Event#
If the why is weak, everything else falls apart.
When Organizing#
- Why do I need to organize this event?
- What outcome am I hoping to create?
- Is this aligned with my long-term goals?
For me, the answer often centers on building meaningful professional relationships. I’m committed to investing time in expanding my network — but not randomly. The purpose must justify the effort.
When Attending#
- Why am I attending this event?
- Do I trust the organizer?
- Will I meet like-minded individuals?
If I know the organizer has a track record of bringing together thoughtful, growth-oriented people, that’s usually a strong signal that the event is worth my time.
If the “why” is compelling, everything else becomes easier to justify.
2. When — Timing Is Strategy#
Even a great event can fail if the timing is off.
When Organizing#
- When should this event happen?
- Will key attendees be available?
- Should it be in-person or virtual?
Availability drives attendance. Format drives engagement.
Choosing the right time isn’t just about convenience — it’s about maximizing participation and impact.
When Attending#
- Did I receive sufficient notice?
- Do I have schedule conflicts?
- Am I mentally available to show up fully?
Sometimes the right decision is not about the calendar — it’s about energy.

3. Where — Environment Shapes Experience#
Location influences mood, participation, and overall success.
When Organizing#
- Is the venue accessible?
- Is it attractive and comfortable for all attendees?
- Does it match the tone of the event?
A strategic venue enhances credibility and engagement.
When Attending#
- Have I been there before?
- Is the commute reasonable?
- If there’s food involved, have I checked the menu?
Details matter. A poorly chosen location can distract from otherwise great content.
The environment either elevates or diminishes the experience.
4. What — Clarity Creates Value#
Without clarity, an event becomes just another calendar entry.
When Organizing#
- What is the core purpose?
- What theme will resonate with all attendees?
- What transformation should participants walk away with?
The clearer the “what,” the stronger the value proposition.
When Attending#
- What’s in it for me?
- Will I gain knowledge, connections, inspiration, or opportunity?
- Is this the best use of my limited time?
Time is a non-renewable resource. Every commitment is an investment decision.
🎯 If the “what” is vague, the value will be too.
5. Who — The Multiplier Effect#
People determine the quality of the event.
When Organizing#
- Who should I invite?
- Who will benefit most?
- Who will add meaningful energy and perspective?
A well-curated group can turn an ordinary gathering into a high-impact experience.
When Attending#
- Who will I meet?
- Is there someone specific I want to connect with?
- Will the room challenge and stretch me?
The right room can accelerate growth in ways that no webinar ever could.

The Bigger Insight#
The Five Ws strategy has shifted me from being reactive to being intentional.
Instead of asking:
“Should I go?”
I now ask:
- Is the Why aligned?
- Is the When strategic?
- Is the Where conducive?
- Is the What valuable?
- Are the Who meaningful?
If most of those answers are strong, I move forward confidently.
If not, I respectfully decline — without guilt.
